SafeChecker ("we," "our," or "us") is a Canadian company providing background check and verification services. This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with our services. We are committed to compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec's Act 25 respecting the protection of personal information.
Information Collected
We collect information necessary to perform background verifications and operate our platform:
- Criminal record check data: Full name, date of birth, address history, and government-issued ID information required for database searches.
- Credit check data: Financial identifiers and consent records when credit verification is requested.
- Identity verification data: Government ID documents, photographs, and address verification details.
- Employer and candidate information: Contact details, employment history, reference contact information, and consent records.
- Account and usage data: Login credentials, IP addresses, and platform activity logs.
All collection is done with explicit consent where required by law. We obtain written or digital consent from candidates before conducting any background verification.
Use of Information
We use the information we collect to:
- Conduct criminal record checks, credit checks, reference verifications, and identity verifications as requested by our clients.
- Generate and deliver verification reports to authorized employers.
- Maintain audit trails and consent records for compliance purposes.
- Improve our services, detect fraud, and ensure platform security.
- Communicate with candidates and clients regarding verification status and results.
We do not sell personal information. We use data only for the purposes disclosed at the time of collection or as otherwise permitted by law.
Information Sharing
We share personal information only in the following circumstances:
- With the requesting employer: Verification results are shared only with the client organization that initiated the check and obtained candidate consent.
- With verification sources: We transmit necessary identifiers to authorized databases (e.g., criminal record repositories, credit bureaus) to obtain verification results.
- With service providers: We may use Canadian-based subprocessors for hosting, email, and support, under strict data processing agreements.
- As required by law: We may disclose information when required by Canadian law, court order, or to protect rights and safety.
We do not share candidate data with third parties for marketing purposes.
Data Security
Encryption & Security
All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Our infrastructure is hosted in Canada and designed to meet SOC 2 and PIPEDA requirements. Access to verification data is restricted to authorized personnel on a need-to-know basis.
We implement technical and organizational measures including access controls, audit logging, and regular security assessments. In the event of a data breach affecting personal information, we will notify affected individuals and regulators as required by PIPEDA and Law 25.
Your Rights
Under PIPEDA and Quebec's Law 25, you have the right to:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Withdrawal of consent: Withdraw consent where applicable, subject to legal or contractual restrictions.
- Complaint: File a complaint with our Privacy Officer or with the Office of the Privacy Commissioner of Canada (PIPEDA) or the Commission d'accès à l'information du Québec (Law 25).

Retention and Transfer
We retain personal information only as long as necessary to fulfill the purposes for which it was collected, to comply with legal obligations (including record-keeping requirements for background checks), and to resolve disputes. Verification reports and consent records may be retained for up to seven years as required by employment and compliance standards.
All data is stored and processed in Canada. We do not transfer personal information outside Canada unless necessary for a specific verification (e.g., international checks) and only with appropriate safeguards and consent.
